In my digital life, I often find myself drowning in files and folders, struggling to maintain a system that can keep up with the constant influx of data. Traditional methods of organizing files — by folders and subfolders — can be restrictive and cumbersome, making it difficult for me to locate information when I need it most. I also feel a burden of trying to “get it right” the first time — which creates a crippling anxiety which in turn leaves my digital desktop cluttered with folders named “To Process” or “To File.” However, I’ve been brainstorming a new approach that I’m hopeful will simplify and streamline how I manage my digital files: using a Personal Knowledge Management (PKM) system with unique identifiers.
The Limitations of Traditional Folder Structures
Traditional folder-based organization requires us to predict how we will retrieve information in the future, leading us to create intricate hierarchies that may not suit our evolving needs. This method often results in duplicated efforts, misplaced files, and a reliance on memory for navigating our own digital ecosystems. As our digital systems grow, so does the complexity of our folder structures, making it increasingly difficult to locate specific items without a time-consuming search.
Embracing PKM Systems with Unique Identifiers
Personal Knowledge Management systems offer a dynamic alternative by focusing on how we interact with information rather than where it is stored. PKM systems allow us to tag, link, and describe our files in ways that are meaningful to our work and thought processes. Files don’t have to “live” in one place. Rather, they are “known” by a unique identifier (UID) and then referenced wherever they are applicable. By integrating unique identifiers into this system, we can enhance our organization method significantly.
A UID is a unique string of characters assigned to each file or folder, ensuring that each item can be uniquely identified regardless of its location on a hard drive or in the cloud. This approach allows us to reference and retrieve files based solely on their unique identifier, without needing to remember the specific folder or path.

Outstanding Challenges: Streamlining the Use of Unique Identifiers

Currently, one of the biggest hurdles is the manual integration of these identifiers into our daily workflow. Ideally, these identifiers would be a piece of metadata automatically generated and managed by the operating system, integrated so deeply that users need not think about them.
As it stands now, if I want to use a UID for each of my files, I have to manually include this UID in the filename. I’m using an Alfred script to help with this, but it is still an extra step. This not only adds an extra step to my file management process but also clutters the filename, making it less aesthetically pleasing and harder to read at a glance. These UIDs, while immensely useful for referencing and retrieving files, disrupt the visual and practical simplicity that we often appreciate in our digital environments.
To harness the power of unique identifiers in a PKM system most effectively, the process needs to be as frictionless as possible. This could be achieved through more sophisticated software solutions that handle the assignment and management of UIDs behind the scenes.
